Three formatting tools are in the Page Background group of the Ribbon’s Layout tab: Color: Click to display the color palette. Color formats the background layer that’s furthest to the back. Watermark: Above the background layer but still behind the text layer is a layer that you can use if you want to add a watermark. You can choose from two watermark types, Picture and Text.
Many Word documents are viewed digitally rather than printed, so there's no reason to be shy about adding color. Here are some of the color changes you can make in Word.
Instructions in this article apply to Microsoft Word 2019, 2016, 2013, 2010, and Word for Office 365.

Change the Background Color of a Word Document
- Open the Word document in which you want to change the background color.
- Go to the Design tab.
- Select Page Color to display a list of color options available as background tints.
- Select the color you want from Standard Colors or Theme Colors.
- To add custom color, click More Colors and choose a color.
- To remove a page color, select No Color from the Page Color panel.
You aren't limited to solid colors for the document background. You can add a pattern, texture or image as a background. To do this, select Fill Effects and select Gradient, Texture, Pattern or Picture. When you are in the correct section, click on the options you want to apply.
Change the Text Color in Microsoft Word
Using colorful text in a document is an easy way to draw attention to parts of the document. Microsoft gives you the controls to change all or part of the text to colors other than black.
- Select the text you want to work with.
- Go to the Home tab and click the Font Color drop-down indicator to bring up the Font Color menu.
- As you move your mouse over the colors, you can see a preview of the color on the text you have selected.
- To see additional colors, chose More Colors at the bottom of the menu to open the Colors dialog box.
- Click on the color you want to apply to the selected text.

Another way to emphasize important information in your document is to highlight it.
- Select the text you plan to highlight.
- Go to the Home tab and select the Text Highlight Color drop-down indicator to bring up the Highlight Color menu.
- Select any color in the menu to apply the highlighting effect to the selected text.
- Click on 'No Color' to remove highlighting.
If you have a great deal of text to highlight, it is faster to change the cursor into a highlighter. Click the 'Text Highlight Color' icon in the Highlight Color menu to change the cursor to a highlighter. Then, just click and hold as you drag over the lines of text you want to highlight.
Apply a Standard Color Theme
Microsoft Word ships with several standard Color Themes you can choose for your document. To see them, go to the Design tab in Word and select Colors. The color palette in the upper left corner shows the color theme currently in use, but you can select from any of the options displayed in the window for your document.
Apply a Custom Color Theme
If you prefer to create a custom color theme, click Customize Colors at the bottom of the Standard Color window. You may be looking for exciting warm colors, friendly neutrals or calming cool colors.
Select the arrow next to any of the colors in the current theme to bring up a Theme Colors palette where you can select and change colors to customize your theme. To save your custom color theme, type a memorable name in the Name field and click Save.
Word Document Printing Considerations
Microsoft Word no longer allows you to set a background color solely for display—one you see on screen but that doesn't print when you run out the document. In early versions of Word, you could set the background to blue and the text to white, purely for display, but when the time came to print the document, the text printed as usual without a background tint.
The reasoning for including this option was that the white text on a blue background was easier on the eyes while you worked. You haven't been able to do this since Word 2003. More recent versions of Word have options for changing the colors of background and text, but those colors print out as part of the document.
- Do one of the following to select a type layer:
- Select the Move tool and double-click the type layer on the canvas.
- Select the Horizontal Type tool or the Vertical Type tool . Select the type layer in the Layers panel, or click in the text flow to automatically select a type layer.
- Positionthe insertion point in the text, and do one of the following:
- Click to set the insertion point.
- Select one or more characters you want to edit.
- Do one of the following to apply your changes to the type layer:
- Select a new tool.
- Click a layer in the Layers panel. (This action auto-commits changes and also selects the layer.)
- Click the Commit button in the options bar.
To cancel the changes, click the Cancel button in the options bar or press ESC.
Typographer’squotes, often called curly quotes or smart quotes, blendin with the curves of the font. Typographer’s quotes are traditionallyused for quotation marks and apostrophes. Straight quotes aretraditionally used as abbreviations for feet and inches.
- Choose Edit > Preferences >Type (Windows) or Photoshop > Preferences > Type(Mac OS).
- Under Type Options, select or deselect Use Smart Quotes.
Anti-aliasingproduces smooth-edged type by partially filling the edge pixels.As a result, the edges of the type blend into the background.

Whencreating type for display on the web, consider that anti-aliasinggreatly increases the number of colors in the original image. Thislimits your ability to reduce the number of colors in the imageand thus to reduce the size of the image file. Anti-aliasing mayalso cause stray colors to appear along the edges of the type. When reducingfile size and limiting the number of colors are most important,it may be preferable to avoid anti-aliasing, despite the jaggededges. Also, consider using larger type than you would use for print.Larger type is easier to view on the web and gives you more freedomin deciding whether to apply anti-aliasing.
Note:
Whenyou use anti-aliasing, type may be rendered inconsistently at smallsizes and low resolutions (such as the resolution used for web graphics).To reduce this inconsistency, deselect the Fractional Width optionin the Character panel menu.

Whenyou check the spelling in a document, Photoshop questions any words thataren’t in its dictionary. If a questioned word is spelled correctly,you can confirm its spelling by adding the word to your personaldictionary. If a questioned word is misspelled, you can correctit.
- If necessary, in the Character panel, choose alanguage from the pop‑up menu at the bottom of the panel. This isthe dictionary Photoshop uses to check spelling.
- (Optional) Show or unlock type layers. The Check Spellingcommand does not check spelling in hidden or locked layers.
- Select a type layer.
- To check specific text, select the text.
- To check a word, place the insertion point in theword.
- If you selected a type layer and want to check the spellingof only that layer, deselect Check All Layers.
- As Photoshop finds unfamiliar words and other possibleerrors, click one of the following:Continues the spelling check without changing the text.Ignores the questioned word during the rest of the spellingcheck.Corrects a misspelling. Make sure that the correctlyspelled word is in the Change To text box and click Change. If thesuggested word is not the word you want, select a different wordin the Suggestions text box or enter the correct word in the ChangeTo text box.Corrects all instances of the misspelling in the document.Make sure the correctly spelled word is in the Change To text box.Stores the unrecognized word in the dictionary, so thatsubsequent occurrences are not flagged as misspellings.
- Select the layer containing the text you want to find and replace. Place the insertion point at the beginning of the text you want to search.
- Select a nontype layer if you have more than one type layer and you want to search all layers in the document.
Note:In the Layers panel, make sure the type layers you want to search are visible and unlocked. The Find And Replace Text command does not check spelling in hidden or locked layers.- In the Find What box, type or paste the text you wantto find. To change the text, type the new text in the Change Totext box.
- Searches all layers in a document. This option is available whena nontype layer is selected in the Layers panel.Searches forward from an insertion point in the text. Deselectthis option to search all the text in a layer, regardless of wherethe insertion point is placed.Searches for a word or words that exactly match the caseof the text in the Find What text box. For example, with the CaseSensitive option selected, a search for “PrePress” does not find“Prepress” or “PREPRESS.”Disregards the search text if it is embedded in a largerword. For example, if you are searching for “any” as a whole word,“many” is disregarded.
- Replaces the found text with the revised text. To repeatthe search, select Find Next.Searches for and replaces all occurrences of the foundtext.Replaces the found text with the revised text, and thensearches for the next occurrence.
Photoshopuses language dictionaries to check hyphenation. Language dictionariesare also used to check spelling. Each dictionary contains hundredsof thousands of words with standard syllable breaks. You can assigna language to an entire document or apply a language to selectedtext.

- To enter text using a specific language dictionary, choose the dictionary from the pop‑up menu in the lower left corner of the Character panel. Then enter the text.
- To change the dictionary of existing text, select the text and choose the dictionary from the pop‑up menu in the lower left corner of the Character panel.
- In the Character panel, choose the appropriate dictionary from the pop‑up menu in the lower left corner of the panel.Note:If you select text with multiple languagesor if the type layer has multiple languages, the pop‑up menu inthe Character panel will be dimmed and it will display the word“Multiple.”
Youcan specify the proportion between the height and width of the type, relativeto the original width and height of the characters. Unscaled characters havea value of 100%. Some type families include a true expandedfont, which is designed with a larger horizontal spread thanthe plain type style. Scaling distorts the type, so it is generallypreferable to use a font that is designed as condensed or expanded,if one is available.
- Select the characters or type objects you wantto change. If you don’t select any text, the scale applies to newtext you create.
- In the Character panel, set the Vertical Scaling option orthe Horizontal Scaling option .
- To rotate type, select the type layer and use any rotate command or the Free Transform command. For paragraph type, you can also select the bounding box and use a handle to rotate the type manually.
- To rotate multiple characters in vertical Asian text, use the tate‑chu‑yoko.
When working with vertical type, you can rotatethe direction of characters by 90°. Rotated characters appear upright;unrotated characters appear sideways (perpendicular to the typeline).

- Select the vertical type you want to rotate orunrotate.
- Choose Standard Vertical Roman Alignment from the Characterpanel menu. A check mark indicates that the option is selected.Note:You cannot rotate double‑byte characters(full‑width characters available only in Chinese, Japanese, andKorean fonts). Any double‑byte characters in the selected rangewill not be rotated.
The orientation of a type layer determines thedirection of type lines in relation to the document window (forpoint type) or the bounding box (for paragraph type). Whena type layer is vertical, the type flows up and down; whena type layer is horizontal, the type flows from left to right. Don’tconfuse the orientation of a type layer with the direction of charactersin a type line.
- Select a type tool, and click the TextOrientation button inthe options bar.
- Choose Layer > Type > Horizontal,or choose Layer > Type > Vertical.
- Choose Change Text Orientation from the Characterpanel menu.
Some commands and tools—such as filter effectsand painting tools—are not available for type layers. You must rasterizethe type before applying the command or using the tool. Rasterizing convertsthe type layer into a normal layer and makes its contents uneditableas text. A warning message appears if you choose a commandor tool that requires a rasterized layer. Some warning messagesprovide an OK button you can click to rasterize the layer.
